Sharing Files with Your Team

Butterflai's sharing system lets you control exactly who sees what. Share individual files or entire batches with specific people or roles.

How to share a file

Open the actions menu on any file and select Share. The sharing dialog opens, where you can add users by name or email. You can also click the share icon directly from the file row for quick access.

Sharing with specific users

Search for team members by name or email in the sharing dialog. Select one or more users and assign their permission level before confirming. Each user receives the access level you specify.

Sharing with roles

Instead of sharing with individuals, you can share with a role. When you share a file with a role (e.g., "Marketing Manager"), every user assigned to that role automatically gets access. If new users are later added to that role, they inherit access to the file.

Permission levels

When sharing, you assign one of three permission levels:

  • Read - The user can view and download the file.

  • Edit - The user can view, download, rename, and modify the file description.

  • Delete - The user can do everything above, plus delete the file.

Choose the minimum permission level needed. You can always upgrade later.

Viewing who has access

Open the sharing dialog on any file to see a list of everyone who currently has access, along with their permission level and whether access is direct or role-based.

Revoking access

Remove a user's or role's access from the same sharing dialog. Click the remove option next to any user or role. Revocation takes effect immediately.

Bulk sharing

Select multiple files using the checkbox on each row, then use the bulk actions toolbar to share all selected files at once. The same permission options apply -- choose users or roles and set the permission level.
